Terms of Use

Last updated: 22 August 2026

These terms explain the basis on which you may use the Surveyor Flow website and application: what you can expect from us, what we ask of you, and — importantly for a tool used in asbestos surveying — where our service ends and your professional responsibility begins.

1.Who we are

Surveyor Flow (“we”, “us” or “our”) provides a mobile-first survey workflow, evidence capture and reporting service for asbestos surveying professionals and the organisations they work for.

You can reach us at support@surveyorflow.co.uk.

2.About these Terms

These Terms apply when you visit this website or use the Surveyor Flow application. By doing either, you accept them. If you do not accept them, please do not use the website or the service.

If you are using Surveyor Flow on behalf of an organisation, you confirm that you are authorised to accept these Terms for that organisation, and “you” in these Terms means both you and that organisation.

Where your organisation has entered into a separate written agreement with us covering the same subject matter, that agreement takes precedence over these Terms to the extent of any conflict.

Our Privacy Notice explains how we handle personal information and forms part of your use of the service.

3.Who Surveyor Flow is for

Surveyor Flow is primarily intended for professional and business use — by asbestos surveyors, surveying businesses and organisations involved in asbestos surveying work — and it assumes the people using it are appropriately qualified and competent for the work they are carrying out.

Nothing in these Terms is intended to remove protections that the law gives you and that cannot be excluded. If you are dealing with us as a consumer rather than in the course of a business, your statutory rights continue to apply and these Terms should be read accordingly.

5.Accounts

Some parts of the service require an account. When you create or use one, you agree to give accurate information and to keep it up to date, and to keep your sign-in details confidential.

You are responsible for activity carried out under your account. Please tell us promptly at support@surveyorflow.co.uk if you think someone else has gained access to it.

6.Organisation and team access

Accounts normally belong to an organisation. Within an organisation, different roles have different levels of access — for example an administrator can review work submitted for quality assurance and manage team membership.

If your account was created by an organisation, or you joined one, that organisation may be able to see and manage the work you record within it, and may add or remove access to it. Organisations are responsible for who they give access to and for the use those people make of the service.

7.Your right to use Surveyor Flow

Subject to these Terms, we give you permission to use Surveyor Flow for its intended purpose. This permission is personal to you or your organisation, non-exclusive, and cannot be transferred to anyone else.

You may not copy, sell, sublicense or otherwise make the service available to third parties, except as these Terms allow or as we have agreed in writing.

8.Acceptable use

Please use Surveyor Flow lawfully and responsibly. You agree not to:

  • access, or try to access, any account, organisation or data you are not authorised to access;
  • interfere with, disrupt or place an unreasonable load on the service or its infrastructure;
  • probe or test the security of the service without our written permission, or circumvent any access control or security measure;
  • reverse engineer, decompile or attempt to derive the source code of the service, except where the law expressly permits it;
  • use the service to store or transmit anything unlawful, or anything that infringes someone else’s rights;
  • upload malicious code, or anything designed to damage or interfere with any system or data;
  • use automated means to extract data from the service beyond what its normal functionality provides; or
  • use the service to misrepresent survey work, or to produce records you know to be false or misleading.

9.Your content

“Your content” means the information you or your organisation put into Surveyor Flow — survey records, client and site details, photographs, samples, laboratory information, attachments, report content and anything else you enter or upload.

You are responsible for your content: for its accuracy, for having the right to provide it, and for making sure that providing it does not breach anyone’s rights or any duty you owe. Where your content includes personal information about other people, you are responsible for handling it lawfully, including telling those people how their information is used where you are required to.

10.Ownership of your content

Your content remains yours. We do not claim ownership of it.

You give us permission to host, store, copy, transmit, display and process your content to the extent needed to provide the service to you — for example to synchronise it between devices, produce reports and back it up. This permission exists only for that purpose and ends when your content is deleted or your use of the service ends, subject to any retention described in our Privacy Notice or required by law.

11.Our intellectual property

The Surveyor Flow service, website, software, design, branding and documentation, and all intellectual property rights in them, belong to us or our licensors. Nothing in these Terms transfers any of those rights to you beyond the permission described in section 7.

Please do not use our name, logo or branding without our permission, except to refer to the service fairly and accurately.

12.Third-party services

We use third-party providers to deliver parts of the service, such as authentication, database and file storage, and hosting. Our Privacy Notice identifies the main ones.

The website may also link to third-party sites, including laboratories or regulatory guidance. We do not control those sites and are not responsible for their content or their practices.

13.Availability, offline working and synchronisation

We aim to keep Surveyor Flow available and working well, but we do not promise it will be uninterrupted or error free. Access may be affected by maintenance, updates, faults, or by third-party services and networks outside our control. Where we plan maintenance likely to affect you, we will give reasonable notice where we can.

Surveyor Flow is designed to keep working when signal drops, storing field data locally on the device and synchronising when connectivity returns. This is a core part of how the service works, but it depends on your device, its available storage, its settings and its condition. We cannot guarantee that synchronisation will always complete, or that locally stored data will always be recoverable — for example if a device is lost, damaged, reset, or its storage is cleared by the device or by another application before syncing has taken place.

Please sync when you reasonably can, and treat a completed sync as the point at which work is safely captured centrally.

14.Professional judgement and responsibility

Surveyor Flow is a workflow, evidence-capture, reporting and quality-assurance support tool. It records and organises what you tell it, and helps you review and issue reports based on that information.

It does not carry out surveys and it does not exercise professional judgement. You remain responsible for:

  • the survey methodology you use and the decisions you make on site;
  • identifying, classifying and assessing materials;
  • taking, handling and submitting samples where required;
  • interpreting laboratory results;
  • the conclusions and recommendations recorded;
  • reviewing and checking information before a report is issued; and
  • complying with the professional, health and safety, and legal duties that apply to your work.

Surveyor Flow supports qualified professionals. It does not replace them, their competence, or the judgement they are engaged to exercise.

15.What Surveyor Flow does not do

To be clear about the boundaries of the service, Surveyor Flow does not:

  • detect asbestos, or determine automatically whether asbestos is present;
  • replace sampling or laboratory analysis where those are required;
  • replace professional judgement or competent assessment;
  • guarantee that any survey, report or organisation complies with legal or regulatory requirements;
  • guarantee the accuracy of a report, which depends on the information entered and the judgement applied by the people using it; or
  • carry any endorsement, approval or accreditation from the Health and Safety Executive or any other regulator.

16.Reports and quality assurance

The service supports a workflow in which survey work can be submitted for review, returned for changes, approved and issued, with a record of issued versions.

These features help organisations run their own review processes consistently. They do not constitute an independent check by us, and we do not review or verify the content of your surveys or reports. Responsibility for what a report says, and for the decision to issue it, rests with the organisation issuing it.

17.Security and credentials

We take appropriate measures to protect the service, as described in our Privacy Notice. You are responsible for keeping your sign-in details confidential, for the devices you use to access the service, and for telling us promptly if you suspect unauthorised access.

18.Suspension and termination

We may suspend or restrict access to the service, in whole or in part, where we reasonably need to — for example to deal with a security risk, to prevent misuse or unlawful activity, to comply with a legal obligation, or where these Terms have been breached. Where we can reasonably do so, we will tell you and, where the issue can be put right, give you an opportunity to do so.

You may stop using the service at any time. If your organisation’s arrangement with us ends, access to the service will end in accordance with that arrangement.

We will not delete your content without a reasonable opportunity for you or your organisation to retrieve it, unless the law requires otherwise.

19.Changes to the service

Surveyor Flow is actively developed, and we may add, change or remove features. Where a change would materially reduce the service you rely on, we will give reasonable notice where we can.

20.Changes to these Terms

We may update these Terms from time to time, for example to reflect changes to the service or to the law. The date at the top of the page shows when they were last changed.

Where a change is significant, we will take reasonable steps to bring it to your attention. If you continue to use the service after a change takes effect, that use is subject to the updated Terms.

21.Our responsibility to you

We take our responsibilities seriously and this section is not intended to avoid them. It sets out, fairly, where responsibility sits.

We are responsible for loss or damage you suffer that is a foreseeable result of our breaking these Terms or failing to use reasonable care and skill. We are not responsible for loss or damage that is not foreseeable.

Because Surveyor Flow is a tool that records and organises information supplied by its users, we are not responsible for the accuracy or adequacy of survey work, assessments, classifications, conclusions or reports produced using it, or for decisions taken on the basis of them. Those remain matters of professional judgement, as set out in sections 14 to 16.

Where you use Surveyor Flow for business purposes, we are not responsible to you for loss of profit, loss of business, business interruption, or loss of anticipated savings.

Nothing in these Terms limits our responsibility in a way the law does not allow — see section 22.

Note

Any financial cap on liability will be set out in the written agreement covering a paid subscription, once commercial terms are available. These Terms do not impose one.

22.Rights that cannot be excluded

Nothing in these Terms excludes or limits our liability for:

  • death or personal injury caused by our negligence;
  • fraud or fraudulent misrepresentation; or
  • anything else that cannot lawfully be excluded or limited.

If you are a consumer, your statutory rights are not affected, including rights relating to services being supplied with reasonable care and skill.

23.Governing law

These Terms are governed by the laws of England and Wales, unless applicable law requires otherwise. Disputes may be brought in the courts of England and Wales, and if you live elsewhere in the United Kingdom you may also be able to bring proceedings in the courts of the part of the UK where you live.

24.Founder access (the Founding 100)

We offer a limited number of Founder places — the Founding 100 — to surveyors who apply through this website.

Applying does not reserve or guarantee a place. Every claim is reviewed by a person, and a Founder place is granted only if we approve that claim. Only approved claims count toward the Founding 100; a claim that is pending, or that has been rejected, does not.

If we approve your claim we will confirm by email. Founder access is personal to the approved surveyor and is not transferable to another person or organisation.

Founder access covers the core Surveyor Flow service that we make available under the Founder offer, as it is provided from time to time. It does not extend to separately priced products or add-ons that we may offer in future.

Where we describe Founder access as “lifetime”, we mean that it lasts for as long as we continue to operate Surveyor Flow and to make that core service available. We are not promising that Surveyor Flow will be available indefinitely. Sections 18 and 19 apply to Founder access as they do to any other use of the service, so we may suspend or end it where those sections allow, for example for misuse or breach of these Terms.
